Privacy Policy
This Privacy Policy describes how InboxUnleash (the "Extension", "we", "us") handles your information. InboxUnleash is a Chrome browser extension that operates inside Gmail to help small business owners organize emails, contacts, files, and tasks, and to manage customer conversations through a lightweight one-way CRM — all without ever leaving Gmail.
1. Who We Are
InboxUnleash is developed by InboxUnleash Tech Solutions, an independent developer studio.
For general questions or support: inboxunleash@gmail.com
For bug reports or feature suggestions: inboxunleash.feedback@gmail.com
For privacy-specific inquiries, data access requests, or data deletion requests: inboxunleash.privacy@gmail.com
2. Information We Access
InboxUnleash uses the following Google API scopes. We access this information solely to provide the features visible to you in the Extension's interface.
| Google Scope | What It Allows | Why We Use It |
|---|---|---|
gmail.modify |
Read, modify, and send Gmail messages, threads, and labels (but not permanently delete them). | To display emails inside smart folders, organize threads, read your existing Gmail labels so you can use them as criteria when defining smart folders, apply labels, archive threads you select, and send emails on your behalf in response to explicit user actions (see Section 4 for details). The Extension reads labels only — it does not create new Gmail labels on its own. The Extension never sends emails automatically without your explicit click. |
contacts.readonly |
Read your Google Contacts (names, email addresses, photos). | Primarily, to let you search for and select contacts when defining smart folder criteria (for example, a folder that collects all emails from a specific client). Also used to assign tasks to contacts, and to display contact names and avatars in smart folders, conversations, and team views. |
drive.file |
Create and manage only files the Extension itself creates in your Google Drive. | The Extension stores your folder configuration and settings in your own Drive so they persist across devices. It cannot read or access any other Drive files. |
calendar |
Read and create events on your Google Calendar, including events with Google Meet video links. | To display upcoming events alongside related email threads, to create calendar entries from tasks and meetings discussed in email, to create reminders and meetings linked to tasks you create in the Extension, and to attach Google Meet video links to events when you request them. |
3. How We Use Your Information
All information accessed through Google APIs is used exclusively to provide the user-facing features of the Extension, including:
- Organizing emails into smart folders based on keywords, contacts, and labels you define.
- Building lightweight task lists and reminders from email content.
- Displaying contact information, avatars, and conversation history.
- Browsing attachments across your inbox.
- Showing related calendar events next to email threads.
- Creating calendar reminders and meetings (including Google Meet video links) linked to tasks you create in the Extension.
- Sending emails on your behalf, only after explicit user action (see Section 4).
- Saving your folder configuration to your own Google Drive so it persists across devices.
4. Sending Emails on Your Behalf — The One-Way CRM Feature
InboxUnleash can send emails from your Gmail account in three specific scenarios. In all three, every email is sent only after you click a 'send' button — never automatically.
Self-emails (task summaries)
You can request the Extension to email yourself a summary of your tasks. The email is sent from your Gmail account to your own address.
Meeting invitations
You can create video meetings (using Google Meet) and send invitations to participants. The invitation is sent as a regular email from your Gmail account.
One-way CRM conversations
InboxUnleash includes a lightweight CRM (Customer Relationship Management) feature that helps you organize your communications with contacts. Unlike traditional CRMs that require a separate platform, InboxUnleash builds the CRM directly on top of your existing Gmail. The chat-style view is a presentation layer over normal email — it is not a separate messaging protocol. Here is how it works:
- Conversation view: Conversations with each contact are organized in a dedicated view inside the Extension, which may be displayed as a chat-style interface for your convenience. This view can be used to start new conversations and also to continue existing email threads that you already have with the contact.
- Sending messages: When you type a message in this view and click 'send', the Extension sends a regular email from your Gmail account to the contact. Messages may include attachments that originated as attachments in your existing Gmail emails, files you select from your own computer using your browser's file picker, references to tasks you have created in the Extension, or links to meetings — exactly as you would include them in a regular email.
- Contact's side: The contact receives a normal email and replies to it normally. They do not need any special tool and may not be aware that you are using a CRM-style interface on your side.
- Optional auto-archiving: You may optionally configure the Extension to automatically archive specific email threads — that is, remove them from your Inbox while preserving them in your Gmail's All Mail. This applies only to threads you have explicitly chosen to handle this way. Archived threads remain fully accessible in your Gmail and can be restored to your Inbox at any time.
We call this approach a "one-way CRM" because it gives you CRM-style organization on your side without requiring any change on the contact's side. All emails sent through this feature appear in your Gmail Sent folder like any other email.
5. Where Your Data Is Stored
- Locally in your browser: The Extension caches contacts, folder configurations, tasks, UI state, and email metadata in your browser's local storage. Email metadata includes sender and recipient addresses, subject lines, dates, and thread identifiers — but not the body content of your emails. This data never leaves your device.
- In your own Google Drive: Smart folder definitions and settings are saved to a dedicated folder in your personal Drive. This is your data, in your account — we have no access to it.
- In Gmail itself: All email-related data remains in your Gmail account. The Extension does not extract or copy email content to any external location.
6. Information We Do Not Collect
Many extensions transmit your data to external servers for processing. InboxUnleash does not. Specifically:
- We do not operate any server that receives your email content, tasks, or files.
- We do not send your email, contact, or calendar data to artificial intelligence or machine learning models.
- We do not sell, rent, or share your data with third parties.
- We do not use your data for advertising or targeting.
- We do not collect analytics about your email content or behavior.
- No human at our end reads your messages, files, or contacts.
7. Third-Party Services
The Extension communicates with the following third-party services as part of its normal operation:
- Google APIs — Gmail, Contacts (People API), Calendar, and Drive APIs, used as described above. These are governed by Google's Privacy Policy.
No other third-party services receive your data.
8. Compliance with Google API Services User Data Policy
InboxUnleash's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
9. GDPR — European Users
If you are located in the European Economic Area, the United Kingdom, or Switzerland, you have specific rights under the General Data Protection Regulation (GDPR).
Legal Basis
Our legal basis for processing your information is your explicit consent, given when you install the Extension and grant the requested Google permissions. You may withdraw this consent at any time by uninstalling the Extension and revoking its access (see Section 11).
Data Controller
For the purposes of GDPR, the data controller is InboxUnleash Tech Solutions. To exercise any of the rights described below, contact us at inboxunleash.privacy@gmail.com.
Your Rights Under GDPR
- Right of access — You may request information about what data we hold about you. (In practice, we hold no personal data on our servers; all data resides in your own Google account and your browser.)
- Right to rectification — You may correct inaccurate data. Since data resides in your own Google account, corrections are made directly there.
- Right to erasure ("right to be forgotten") — You may delete all data created by the Extension using the "Delete all my data" function in the Extension's settings. This action removes configuration files from your Drive and clears local browser storage. You may also revoke the Extension's access to your Google account at any time.
- Right to data portability — Your data is already in standard formats inside your own Google account and can be exported using Google's standard export tools.
- Right to object — You may object to our processing of your data by uninstalling the Extension at any time.
- Right to lodge a complaint — You have the right to lodge a complaint with your local data protection authority.
International Data Transfers
The Extension does not transfer your personal data outside your own Google account and your browser. All processing happens locally on your device.
Data Retention
We do not retain your data on any server. Data is retained only:
- In your Google account, for as long as you choose to keep it.
- In your browser's local storage, until you uninstall the Extension or clear browser data.
10. Data Security
Because InboxUnleash processes your data entirely within your browser and your own Google account, the security of that data depends primarily on the security of your Google account and your device. We recommend:
- Enabling two-factor authentication on your Google account.
- Keeping your browser and operating system up to date.
- Reviewing connected apps in your Google account settings periodically.
11. Your Rights and Choices
- Revoking access: You can revoke the Extension's access to your Google account at any time by visiting myaccount.google.com/permissions.
- Deleting all your data: Use the "Delete all my data" function in the Extension's settings to remove all configuration files the Extension created in your Drive, along with any locally cached data. This is the recommended way to delete data created by the Extension, since the configuration files are stored as hidden Drive files and are not easily visible through the standard Drive interface.
- Restoring archived threads: If you have configured the Extension to auto-archive certain email threads (via the one-way CRM feature), you can restore those threads to your Inbox at any time using Gmail's standard tools.
- Uninstalling the Extension: Removing the Extension from Chrome clears all data stored locally in your browser by the Extension. Configuration files in your Drive remain until deleted using the "Delete all my data" function described above.
12. Children
InboxUnleash is not directed to children under 13 (or under 16 in jurisdictions where applicable). We do not knowingly collect information from children.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Significant changes will be communicated through the Extension itself.
